The bottleneck is your knowledge, which lives only in your head. Five minutes of notes, then the system is meant to build something from it. That rarely works reliably.<\/p>\n\n<p>The reason is simple. When you write freely, you skip exactly the assumptions that feel obvious to you. For a system they are not obvious. Where you take knowledge for granted, the gaps appear.<\/p>\n\n<p>The effect is measurable. A well-documented process holds up in about 95 % of cases. A roughly sketched one stays near 80 %. That gap decides whether a system works reliably or needs constant adjustment.<\/p>\n\n<h2>The method: structured questioning instead of free notes<\/h2>\n\n<p>The idea reverses the brain-dump. You do not write away on your own; a routine questions you systematically. That way you decide deliberately, instead of mixing several topics at once.<\/li>\n<li><b>Record the answer<\/b>Note your answer right away. The system interprets, you decide. Assumptions are spoken out loud, not set in silence.<\/li>\n<li><b>Save after every answer<\/b>Write each question and answer into a document immediately. That way nothing is lost in long sessions, even as the conversation grows.<\/li>\n<li><b>Flag knowledge gaps<\/b>What you cannot answer with confidence, do not guess. Mark it as an open point with a clear task: ask the responsible person, then fill it in.<\/li>\n<\/ol>\n\n<div class=\"pz-note\"><b>Why saving after every answer matters:<\/b> In long sessions the model&#8217;s working memory fills up. Early answers fade or get distorted. A document that keeps writing along prevents exactly that.<\/div>\n\n<h2>Why the method works<\/h2>\n\n<p>The effect shows on the first pass. With a pure brain-dump you typically start at around 70 % quality. Then come many correction loops to slowly move toward 95 %.<\/p>\n\n<p>With structured questioning you move that effort to the front. You start right away at about 90 %. Choose a clearly bounded topic<\/h3>\n<p>Take a single process, not the whole company at once. For example your quoting workflow or your onboarding. Set up a knowledge document<\/h3>\n<p>Create a simple file with four sections: summary, key decisions, question-and-answer log and open points. This structure is plenty to start with.<\/p>\n\n<h3>3. Let yourself be questioned<\/h3>\n<p>Work through the questions one by one and save every answer. Stop only when no relevant question is left open.
